Connect HubSpot to Connexu IQ

Follow these steps to securely connect your HubSpot portal to the Connexu platform, allowing seamless bi-directional data synchronization.

Prepare Your Environment

Before initiating the connection, ensure you have the correct permissions within your HubSpot portal.

  • You must have Super Admin privileges in HubSpot.

Navigate to Settings

Inside the Connexu IQ platform, locate the Connected Apps section to start the integration process.

  1. Log in to your Connexu IQ dashboard.
  2. Click on the Settings gear icon in the left-hand navigation menu.
  3. Select Connected Apps from the sub-menu.
  4. Find the HubSpot integration card.
  5. Click the blue Connect button.

Authenticate with HubSpot

You will be securely redirected to HubSpot to grant Connexu access.

Choose Account

Select the correct HubSpot account when prompted.

Grant Permissions

Click "Connect App" to grant Connexu IQ read/write access to Contacts and Companies.

Configure Field Mappings

Once connected, you need to tell Connexu how your data aligns with your HubSpot setup.

After the window closes and shows "Connected", click the Configure Mapping button on the HubSpot card.

  • Use the Smart Match button to automatically align standard fields.
  • Review the Prospect Mapping tab to map your Contact fields.
  • Review the Account Mapping tab to map your Company fields.
  • Click Save Changes at the bottom.

Setup Selective Sync (Recommended)

To maintain control over which contacts are sent to Connexu, we recommend using a HubSpot List.

    Create a List

    Create an Active or Static List in HubSpot named "Connexu Enrollment".

    Add Contacts

    Add the contacts you wish to enroll in Connexu campaigns to this list.

    Sync

    Enter this List's ID into the HubSpot Settings modal in Connexu. Connexu will then only import contacts from that list.

    Updates (notes, activities) will be pushed back to these specific contacts.

Data Sync & Best Practices

Important information about how data flows between your CRM and Connexu IQ.

Sync Frequency & Direction

By default, the integration supports bi-directional synchronization. This means updates in Connexu IQ will reflect in your CRM, and vice versa.

Data syncs automatically on a regular frequency (e.g., hourly). You can configure the sync direction (Bi-Directional, Import Only, or Export Only) and frequency within the Connexu platform settings to suit your workflow.

Auto Token Refresh: Our backend securely and automatically refreshes your connection tokens as needed. Your bi-directional syncing will remain uninterrupted without requiring manual re-authentication.

Critical Requirements

For contacts to be successfully ingested and processed by Connexu IQ, the following properties are MANDATORY:

  • Client Name (Identifies the client context)
  • Campaign (Assigns the contact to a campaign)
  • Segment (Categorizes the contact for targeting)

Contacts missing any of these three properties will be rejected during the sync process. Please ensure these fields are mapped and populated in HubSpot.

Exporting to HubSpot

You can easily push newly discovered or enriched prospects from Connexu directly into HubSpot. Connexu handles deduplication by automatically matching existing contacts by email, performing seamless updates without creating duplicates.

Loop Prevention: To maintain data integrity and prevent infinite sync loops, any contact originally imported from HubSpot into Connexu is restricted from being exported back out via bulk export actions.

Advanced Export Features

  • Targeted Lists: Specify an "Export List ID" in your settings. Any prospect exported to HubSpot will automatically be added to this designated HubSpot List.
  • Managed Fields: Define a custom "Connexu Managed" property. Connexu will flag this field as true whenever it pushes data, making it easy to build lists and workflows in HubSpot.
  • Bulk Campaign Export: Utilize the HubSpot Data dashboard to bulk export specific cohorts by selecting an active Campaign.
